Job Description:

The Office of Admissions at Iowa State University is seeking qualified applicants for an Assistant Director of Graduate Admissions Operations to manage daily graduate admissions operations. Reporting through the Office of the Senior Vice President and Provost, the Office of Admissions fulfills Iowa State’s land grant mission by attracting, recruiting, orienting, and enrolling a diverse group of new undergraduate students to meet the university’s enrollment targets.

This position supports graduate enrollment at Iowa State by leading the central university graduate admissions process, including: leading a team of 2-3 graduate admissions processing staff in reviewing all graduate applications and documents, both domestic and international, and processing admission decisions received from graduate programs; collaborating with the Graduate College and graduate programs to improve the applicant experience and ensure timely processing of applications and documents; serving as front-line customer service to graduate applicants, providing guidance on application completion and document submission; serving as the main point-of-contact for graduate programs, providing updates on individual students and the larger process and timeline, and solving any issues that arise in the application process; research and consultation on policy and procedure; using data to identify delays or gaps in the admission flow; creative problem solving to make the process more efficient for applicants and graduate programs; tracking and reporting student cohorts; developing and sharing reports; training faculty and staff on review process and technical steps; and serving as the expert on the graduate admissions process.

The ideal candidate will have experience working with graduate admission processing in a higher education setting, will provide consistently outstanding customer service to students and colleagues, will be proactive in identifying problems and finding creative solutions that lead to a timely, efficient applicant experience, and will provide strategic guidance for increasing graduate enrollment at Iowa State.

This position requires the candidate to reside in the state of Iowa. This position is hybrid, with an option to work remotely 2-3 days per week after completion of a training period. Due to the nature of working with students in different time zones and participating in programming, this position will require some evening and weekend hours outside regular business hours. Occasional domestic and international travel will be required for professional development and student recruitment/enrollment support.

Example of Duties• Oversees and directs the day-to-day operations of one or more admissions office functions.• Serves as a contact for students and families.• Works with campus partners to develop and administer admissions programs.• Provides input and recommendations to strategic direction and effectiveness.• Reviews and develops budgets and make recommendations on program spending.• Advocates for funding necessary to meet program goals.• Authorizes program expenditures.• Supervises staff.Level Guidelines• Aware of key annual objectives of department or work unit• Understands linkage between daily activities and achievement of annual objectives of department/work unit and explains to direct reports• Focus on ISU’s mission and meeting department or work unit goals• Supervises a small department or work team• Often is a working supervisor with direct, previous experience performing work of those supervised• Has full management responsibility for direct reports, specifically the authority to hire, fire, and counsel; may share part of responsibility with higher level management• Requests approval for financial actions beyond a limited scope per policy
