JOB TITLE Carlisle Elementary Secretary (Substitute) REPORTS TO Building Principal

QUALIFICATIONS

  • High school diploma and/or specialized training or experience in secretarial related responsibilities

  • Able to use Windows based computer applications, including word processing, spreadsheets, databases, and updated software as it becomes available

  • Telephone answering, information, referral, and message-taking skills

  • Demonstrates integrity and respects confidentiality

  • Able to adapt to and work effectively in a fast paced environment with a variety of situations, individuals, and groups. Requires command of detail, accuracy, organizational skills, and the ability to handle multiple tasks and demands

  • Able to communicate and interact effectively with external and internal publics

  • Must clear criminal background and child and dependent adult abuse check

  • Certificate of good health signed by a licensed practitioner

PERFORMANCE RESPONSIBILITIES

  • Enhances the administrative procedures of the building by serving in a liaison capacity between the principal, parents, students, and staff

  • Provides clerical support including, but not limited to, word processing, grade reporting, reporting absences, calling parents for verification, and maintaining such files as deemed appropriate

  • Provides registrar services by maintaining accurate student records in the student information system.

  • Develops and maintains effective working relationships with students, staff, parents, and community members

  • Exhibits a positive attitude towards students

  • Welcomes and logs visitors, determine their needs, directs or escorts them to their destination

  • Operates computer, copier, facsimile machine, etc as necessary

  • Types a variety of material, such as letters, student/personnel records, reports, etc.

  • Sorts and routes incoming mail

  • Receipts money in accordance with business manager’s direction

  • Orients substitutes for teaching and support staff as needed

  • Gathers data and completes reports as needed

  • Assists in orientation of individuals in operations and care of office equipment, office procedures, and when assigned, building procedures

  • Manage K-8 student identification in Project Easier, the state student identification system

  • Coordinate registration of preschool and kindergarten students

  • Complete other duties as assigned by the principal

  • Able to sit for long periods of time

  • Able to stand/walk for periods of time

  • Able to stoop and bend

  • Able to work with interruptions during the work shift

  • Able to operate basic office equipment including computers, copiers, intercom, fax

  • Work is independent

  • Substance free environment

Evaluation:

  • Performance of this job will be evaluated annually

  • Evaluation is the responsibility of the building administrator

TERMS OF EMPLOYMENT

  • Wage and work year to be determined by Administration

  • Employment per Board Policies and Administrative Rules and Regulations
