Job Description

The Iowa Department of Public Health (IDPH) and Department of Human Services (DHS) merged on July 1, 2022, to form one agency, The Iowa Department of Health and Human Services (HHS).

SHIFT: Monday-Friday 8:00 a.m. to 4:30 p.m.

Location: DHS Cedar Rapids Service Area – 1240 26th Avenue Court SW, Cedar Rapids, IA 52404

DUTIES: This position is responsible for assisting Supervisors in the Community Access (IM) and Child Well Being Social Work (SW) field offices to ensure various work assignments are completed in accordance with Iowa Code and regulatory guidelines. Other duties as assigned.

Description of work:

• Assist supervisors in the Community Access (IM) and Child Well Being (SW) field office to ensure various work assignments are completed in accordance with Iowa Code and regulatory guidelines.

• Organize and oversee confidential files and records including creation, management and retention of such records.

•Compose and distribute legal notifications and other correspondence

• Act as resident expert in various SW and IM program areas by responding to customer inquiries via email, phone or in person, providing necessary information and directing clients to appropriate resources.

•Oversee and assist with the support of social work processes ensuring timely and accurate completion of required tracking and paperwork.

•Act as a liaison between support, IM and SW staff, ensuring that information is shared to assure operational needs are met.

•Perform administrative duties to assist IM, child protective, adoption, foster care and adult service units.

•Oversees drug testing operations with UA contracted business and social workers.

This position will also perform back-up responsibilities for all clerical staff or as assigned. Attend staff meetings, training sessions and core courses and review manual and other sources of communications to keep current on policy and procedure. Other duties as assigned.

Minimum Qualification Requirements

Experience equal to three years of full-time clerical or closely related work;

OR

an equivalent combination of education and experience, substituting graduation from high school, G.E.D. equivalency or satisfactory completion of a recognized correspondence or formal job-related training course at the high school or equivalent level such as that offered by WIN, OEO, CEP, CIVEC or similar programs, for one year only of the required experience;

OR

an equivalent combination of education and experience, substituting nine months or thirty semester hours coursework in an accredited business school, college or university for each year of the required experience;

OR

certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;

OR

employees with current continuous experience in the state executive branch that includes the equivalent of eighteen months of full time experience as a resident treatment worker or Clerk–Advanced.
