GENERAL JOB SUMMARY:

Under moderate to limited supervision, provides department support, manages department processes, and ensures smooth running of the office.

DUTIES/RESPONSIBILITIES:

  • Answer and/or re-direct basic inquiries from internal and external customers via phone, email, or in person.

  • Greet and check in students for advising appointments and use Calendly for student scheduling

  • Assist advisors with scheduling, preparation of materials, and general support.

  • Assist Non-Degree-Seeking students with general advising needs such as lifting holds, answering questions about registration, and directing them to appropriate help as needed

  • Schedule, coordinate, and provide logistical support for training, meetings, and other advising events.

  • Train and support work-study student department assistants as needed.

  • Provide event support, i.e., submit catering orders, schedule rooms, and assist with technology set-up.

  • Coordinate materials for mailings, maintain department records, generate reports, schedule and coordinate meetings and events, and maintain computer databases.

  • Prepare and maintain correspondence, lists, and other documents.

  • Perform various office clerical duties, including filing, typing, scanning, maintaining copiers and other equipment, ordering supplies, sorting/distributing mail, etc.

  • Assist with department and college-wide activities and events.

  • Perform other related work duties as assigned.

PHYSICAL ACTIVITIES WITH/WITHOUT REASONABLE ACCOMMODATION:

The position involves working in an office setting. Occasional (10-33%) standing, pushing, pulling and grasping. Frequent (34-66%) reaching and viewing a computer and other types of close visual work. Constant (67-100%) sitting, walking, repetitive motion, talking and hearing.

MINIMUM QUALIFICATIONS:

  • High school diploma or equivalency plus two years of related experience; or an Associate’s degree in a related field.

  • Possess a good working knowledge of Calendly and Microsoft Office products, and have comfort using multiple computer platforms.

  • Knowledge of standard office equipment.

PREFERRED QUALIFICATIONS, LICENSES, CERTIFICATIONS, OR REGISTRATIONS:

  • Associate’s degree in a related field or working towards a degree

  • Experience in office administration or clerical duties

  • Experience in an educational setting
