Description

We are offering a position for an Operations Manager in Cedar Rapids, Iowa, United States. The role involves various administrative and managerial tasks in a dynamic workplace. As an Office Manager, you will be expected to carry out tasks such as data entry, bookkeeping, and customer service, among others.

Responsibilities:

• Accurate and efficient processing of customer credit applications

• Maintain customer credit records with precision and attention to detail

• Resolve customer inquiries and ensure customer satisfaction

• Monitor customer accounts and take necessary action

• Conduct data entry tasks, transferring data from Google Sheets into scheduling systems

• Perform general bookkeeping and accounting tasks, including account reconciliation and invoice processing

• Assist with payroll tasks, ensuring data integrity and correct payment to installers

• Physically deposit checks at the bank and match checks to invoices

• Generate reports for accounting purposes, such as Profit & Loss reports from QuickBooks

• Code lists from CPA of what categories, and send out invoices to customers

• Possess an organized mindset to work within the company’s environment and to take on challenges

• Write and develop Standard Operating Procedures (SOPs) and other documentation

• Engage in purchasing materials for the company

• Handle invoicing and ensure prompt payment

• Liaise with answering service and review their interactions with customers

• Conduct research to gather necessary information for the company

• Coordinate short term projects to order office supplies or find suppliers

• Keep sales sheet updated with permits

• Engage in potential lead generation activities such as researching city websites for permit information.

Requirements • Proven experience in an Office Manager role or similar administrative position.

• Proficiency in Microsoft Excel and Google Sheets.

• Familiarity with QuickBooks for managing financial tasks.

• Experience with account reconciliation, accounts payable (AP), and accounts receivable (AR).

• Knowledge of billing procedures and invoice processing.

• Proficiency in data entry, ensuring accuracy and efficiency.

• Experience with payroll systems, preferably Gusto.

• Ability to perform bank reconciliations.

• Strong organizational and management skills.

• Excellent verbal and written communication abilities.

• High level of discretion for handling confidential information.

• Ability to multitask and prioritize tasks effectively.

• Strong problem-solving skills and attention to detail.
