Job Description:
Job Title: Purchasing Assistant
Department: Purchasing
FLSA: Non-Exempt
General Function:
Responsible for ensuring all vendors are paid on time, in order for Hy-Vee to receive discounts on product received in warehouses. Enters billbacks, credits, and coupons into system that are deducted from vendor checks.

Primary Duties and Responsibilities:
Audits invoices and authorizes for payment.
Answers inquiries from stores, vendors and brokers.
Assists with sales representatives (orders, late P.O.’s, store orders, etc.).
Verifies disputed invoices for repayment.
Coordinates pick-up loads with dispatch and incoming freights.
Traces late shipments and shortage of product.
Audits and completes new item sheets for the warehouse.
Coordinates the return of merchandise shipped in error and recalled merchandise and prepares billing to vendors.
Verifies all shipments are invoiced and processed for payment.
Coordinates importing paperwork for shipments and invoicing.
Reports to work when scheduled and on time.
Secondary Duties and Responsibilities:
Assists with ad pricing.
Orders merchandise when supervisor is absent.
Performs other job-related duties and special projects as required (i.e. GM show).

Education and Experience:
High school diploma or equivalent required; 1-3 years previous related work experience.
Physical Requirements:
Visual requirements include: ability to see detail at near range with or without correction.
Must be physically able to perform sedentary work: occasionally lifting or carrying objects of no more than 10 pounds, and occasionally standing or walking.
Must be able to perform the following physical activities: stooping, kneeling, reaching, handling, grasping, feeling talking, hearing and repetitive motions.
Working Conditions:
The duties of this position are performed in a general office setting. There is frequent pressure to meet deadlines and handle multiple projects in a day.
Equipment Used to Perform Job:
Calculator, Fax, copier, telephone, printer, VDT and PC with Microsoft Office programs.
