Department Summary:

Drake University's Office of Registrar is responsible for the accuracy and integrity of all student records. The Office carries a list of responsibilities, including maintaining student records, producing student transcripts, evaluating transfer credits, providing degree and enrollment verifications, to name a few.

The Office serves both current, future, and former Drake students and partners with offices across the institution. We are a highly collaborative team focused on Drake's mission.

Job Summary:

Drake University’s Office of the Registrar is seeking a new Assistant Registrar to focus on student records, graduation, and graduation eligibility. The new Assistant Registrar will report to the Registrar and serve as an important member of the Office.

We are seeking an Assistant Registrar who will work collaboratively with campus stakeholders to implement efficient and effective business processes, while caring about customer service--when supporting students and campus partners.

Attention to detail, strong organizational skills, a thorough understanding of academic procedures and policies, and experience working with student information systems (SIS) are essential for success in this role. A collaborative spirit and sense of humor won't hurt either.

Qualifications & Requirement:

• Bachelor’s Required, Master’s Preferred

• Strong interpersonal and communication skills, a high level of integrity, and ability to exercise independent judgement and demonstrate personal initiative.

• Experience in analyzing and organization information to produce data-driven decisions.

• Evidence of solution-oriented, creative, and innovative thinking to resolve complex issues and enhance business processes.

• Experience with basic programming logic and design preferred.

• Experience working at a college or university preferred.

Job Duties:

Graduation Eligibility & Degree Clearance (20%): Manages all activities related to graduation eligibility and graduation clearance, including the senior petition, monitoring graduation dates and progress to degree, and graduation application process, determining Latin honors, coordinating with the college and school offices on degree clearance, awarding degrees, and printing and distribution of diplomas. Submits degree verification files to the National Student Clearinghouse. - (Essential)

Degree Audit Management (20%): Leads the University's use of the degree audit evaluation system, including oversight of processes and policies around degree audit curriculum maintenance, substitutions, and waivers. Responsible for developing reporting from the audit system to support progress to degree tracking. Coordinates with the Student Records Systems Coordinator on audit programming, data entry, and troubleshooting. Develops enhancements of the system to support constituent use. - (Essential)

Student Academic Record Management (20%): Oversees modifications to students’ academic records including, change of record requests, graduation date changes, catalog updates, and reconciliation between students’ academic record and graduation records in Banner. Manages and maintains the Change of Record form and ProcessMaker workflow. - (Essential)

NCAA Eligibility (15%): Oversees the NCAA athletic eligibility and degree completion process, including assisting with the creation and maintenance of the degree evaluation checklists and the creation of processes and policies to ensure NCAA athletic eligibility and timeliness to degree completion. Works closely with the Coordinator of Athletics Eligibility and Student-Athlete Academic Success to maintain accuracy of degree evaluation checklists. - Essential

University Commencement (10%): Manages all student-related commencement activities, including student communications, the Commencement and Program RSVP process, production of the commencement program, ceremony attendance, student procession, diploma covers, etc. Assists the Registrar in the planning and execution of the University’s commencement ceremonies, including coordination with university departments and offices, external vendors, faculty, and guests. - (Essential)

Administrative Responsibilities (5%): Provides general student record management support (e.g., registration, transcripts, enrollment verifications) and serves on committees and task forces as appropriate. Presents best practices information via a variety of standing meetings and receives feedback from the community about their needs, charges projects and enhancements. Responsible for configuration and maintenance of relevant functions related to information systems (e.g., banner, graduation application, commencement RSVP form, change of record form, and degree audits). Works with ITS and others to implement new and modified functionality of information systems. Communicates effectively with vendors as needed to help solve an issue, analyze needs for enhancements, or evaluate new products for technical fit with Drake systems. - (Essential)

Communication and Training (5%): Creates and maintains necessary communications, trainings, workshops, website updates, etc. related to areas of responsibility. - (Essential)

Salary & Benefits

We anticipate the starting salary to be in the range of $42,500-46,000. However, the final offered salary will be dependent upon the qualifications and experiences of the selected candidate.
