Department Summary:

Drake University's Office of Registrar is responsible for the accuracy and integrity of all student records. The Office carries a list of responsibilities, including maintaining student records, producing student transcripts, evaluating transfer credits, providing degree and enrollment verifications, to name a few.

The Office serves both current, future, and former Drake students and partners with offices across the institution. We are a highly collaborative team focused on Drake's mission.

Job Summary:

Drake University’s Office of the Registrar is seeking a Registrar Services and Operations Specialist who will report to the Registrar and serves as the initial point for contact for students, faculty, staff, alumni, and members of the public. This position is responsible for student records maintenance, records research, transcript requests, and enrollment verification services.

The Records & Operations Coordinator also manages daily office operations, is responsible for the office website and communications, and serves as the project management specialist for office projections.

Minimum Qualifications:

• Baccalaureate Degree

• Strong interpersonal and written and oral communication skills

• A high level of integrity and ability to exercise independent judgement and demonstrate personal initiative

• Highly organized, with a strong attention to detail

• Customer service oriented

• Strong technical and computer skills

Preferred Qualifications:

• Experience with project management, event management, record keeping, and/or customer service.

• Evidence of solution-oriented, creative, and innovative thinking to resolve complex issues and enhance business processes.

• Experience working at a college or university.

Job Duties:

Student Records Support (30%): Perform student-records specific tasks, including add/drop transactions, complete withdrawals, changes of record, grade changes, enrollment/degree verifications, etc. Assist with the intake of external transcripts and first posting of transfer credit. Assist students, alumni, staff, and administrators with student records requests and perform records research. Fulfill transcript orders and track requests through the National Student Clearinghouse. Manges cross-enrollment program with DMACC and Grand View University. Adhere to the Family Educational Rights and Privacy Act (FERPA) and university policy and procedure to ensure compliance. - (Essential)

Administrative Support and Special Projects (30%): Provide administrative support for the Registrar and Director of Academic Advising. Serves as project management specialist and/or supports office projects including the commencement ceremony, academic advising implementation, digitization of archived records, veterans’ education benefits certifications, short-term projects, etc. Provides back-up support to office team as needed. - (Essential)

Registrar Office Operations (20%): Provide excellent customer service and problem resolution as the first line of contact for the office, including Sustain efficient routine office operations, including primary responsibility for all office communications (email, website, mail, and phone), coordinating in-person office coverage, and maintaining office supply inventory. Assist the Registrar in budget management, including the monitoring of non-salary expenditures. Ensures a professional, organized, and welcoming office physical and virtual atmosphere. - (Essential)

Communication and Training (10%): Employ a diverse array of technological tools to ensure effective and timely communication between the Office of the Registrar and its various constituents. - (Essential)

Technology Oversight (10%): Responsible for configuration and maintenance of relevant functions related to information systems (e.g., Microsoft systems, T-4 website management system, National Student Clearinghouse, etc.). Works with ITS and others to implement new and modified functionality of information systems. And perform other duties, as assigned. - (Essential)
