Job Summary:

The Retail Receptionist/Admin. Assistant provides support to a Retail branch and, to a lesser degree, the department(s) located within the branch (if any). The position is responsible for greeting clients and visitors to the branch, determining what the visitors' needs are, and directing them to the appropriate employees to conduct their business. This position will also answer phones, take messages, and sort/distribute mail for the branch. The Retail Receptionist/Admin. Assistant may also work as a Consumer Services Rep (CSR) or serve as a back-up to our Call Center when needed. Specific job duties could vary slightly per branch location, along with Saturday morning work rotation.

Primary Functions and/or Responsibilities:

• Answer and direct incoming calls, greet and direct customers/guests/vendors, and take messages

• Sort, prepare, sign for & distribute mail

• Allow access to Safe Deposit and close boxes, complete audits

• Prepare and process various management reports for Assistant Manager and Manager

• Review rejected card transactions report, CD maturity list, loan maturity list, and past due business loan report

• Order customer checks

• Maintenance addresses and phone numbers

• Order supplies, report mechanical service issues and work with vendor appointments

• Contact customers with rejected CeB sign-on attempts for verification

• Execute branch events for customers and other projects as requested by manager

• Accurately type correspondence and memos

• Keep lobby materials stocked and organize bulletin board

• Put together new account packets

• Assist with materials for various committee and board meetings

• Answer account questions, print statements, issue counter checks, and other basic tasks for customers

• Scheduling: assist with schedules to ensure coverage and monitor lunch schedules

• Process customer transactions/requests

• Send BTC files downtown in order

• Put secondary market loans in order for shipping

• Logging in and distributing abstracts in CV

• Order title insurance

• Sign for abstracts

• Sign for Fed Ex & UPS packages

• Coordinate customer appointments and closings

• Retrieve loan information requested by customers

• Send loan officers thank you letters

• Coordinate shipping- Courier

• Process social security number checks

• Check loan names on Bridger Insight

• Order titles for abstracts

• Assist with mail survey process

• Copy mortgage documents

• Print title policies

• Process loan payoffs

• Sort and distribute mail

• Prepare “Thank You” Cards

• Other duties as assigned

Education and/or Experience:

· High school diploma or GED preferred

· Additional specific education, certifications, or experience preferred/required:

· At least one year of experience in a customer contact position

· Previous scheduling meeting experience and updating calendars desired

· Previous receptionist experience or in an office environment preferred

· Notary Public required or must obtain within 60 days of hire

Specific Skills, Knowledge & Abilities:

· Knowledge of consumer financial products and services helpful

· Exceptional computer & cash handling skills

· Strong attention to detail

· Account balancing skills

· Demonstrated interpersonal skills with a diverse customer base

· Ability to multi-task

Hiring Salary Range

The hiring range below reflects targeted base salary. Actual compensation will be determined based on the candidate’s prior related experience & education and will be finalized at the time of offer. In addition to base salary, most positions are also eligible to participate in our annual bonus program. Select positions may also be eligible to earn incentives and/or commissions. Hiring Salary Range: $18.75 - $22.00 (Annualized at 40 hours per week: $39,000 - $45,760)
