Job Summary
The Warranty Coordinator is responsible for managing the end-to-end warranty claim process for Hirschbach's fleet, which will involve submitting, reviewing, and documenting warranty claims while adhering to manufacturer guidelines. They will partner with internal teams, dealerships/Hirschbach shops, and manufacturers to resolve inquiries and maintain accurate records.
Duties & Responsibilities
Manage end-to-end warranty claim process for heavy trucks and trailers, including claim submission, documentation, credit entry and follow-up.
Review warranty claims for completeness, accuracy, and adherence to manufacturer guidelines and policies.
Liaise with each shop location and the Road Assist team to gather necessary information and supporting documentation for warranty claims.
Communicate with dealerships, and manufacturers to resolve warranty-related inquiries and ensure customer satisfaction.
Maintain accurate warranty records and documentation, including claim files, parts information, credit memos and checks.
Collaborate with suppliers and manufacturers to facilitate warranty claim processing and resolve any disputes or discrepancies.
Monitor warranty trends and analyze data to identify potential issues or opportunities for process improvement.
Stay updated on warranty policies, procedures, and regulations pertaining to heavy truck and trailer systems and components.
Assist in training fleet personnel on warranty claim procedures and requirements.

Talent Requirements
High school diploma, or equivalent; additional education or certification in automotive or heavy truck technology is a plus.
Proven experience as a Warranty Administrator or similar role within the heavy truck industry is also a plus.
Excellent attention to detail and strong analytical skills.
Strong communication and interpersonal skills to interact effectively with internal teams, dealerships, and others.
Proficient with MS Office Suite, particularly Microsoft Excel.
Ability to multi-task, prioritize, and meet deadlines in a fast-paced environment.
Possesses a proactive leadership mindset with a strong commitment to professional growth, and a dedication to advancing with the company.
Strong problem-solving skills and the ability to work independently.
