Food Service SecretarySupervisor: SuperintendentContract Length: 260 DayJob Classification: ClericalFLSA Status: Non-ExemptRate of Pay: $16.33Job Summary:The Food Service Secretary is responsible for providing administrative support to the Food Service department, ensuring smooth operations and efficient communication. This role involves managing scheduling, maintaining records, coordinating with vendors, and handling customer inquiries. The ideal candidate is organized, detail-oriented, and has excellent communication skills to assist with daily tasks in a fast-paced food service environment.Responsibilities:

  • Applications – Process, notification to schools/parents. Organization and copy of applications. Verification process.

  • Daily bank deposits/statements.

  • Participation Report for State/Federal Reimbursement

  • Food purchase records

  • Electronically create and process breakfast and lunch program for each school daily.

  • Reads, sorts and distributes incoming mail to the appropriate office.

  • Performs diversified clerical work involving the exercise of independent judgment.

  • Acts as an administrative assistant to a supervisor, interprets administrative decisions and policies as explained by the supervisor, and relieves the supervisor of all clerical duties.

  • Ability to handle confidential work with tact and discretion; to maintain complex clerical records and prepare reports; and handle routine decisions in accordance with District policy.

  • Relays specific instructions/messages and keeps control records of assignments (projects, reports, correspondence, etc.); follows up to ensure receipt of information required within established time frames and identifies correspondence of a controversial, sensitive or important nature and routes for immediate action.

  • Types/proofs correspondence, reports, minutes, etc. for accuracy, grammar, spelling, sentence structure, prepares final draft for distribution/mailing.

  • Orders office supplies/equipment and processes invoices for payment; arranges for servicing and maintenance of office equipment.

  • Works and communicates with internal and external clients and customers to meet their needs in a polite, courteous, and cooperative manner. Committed to quality service.

  • Displays a high level of initiative, effort and commitment towards completing assignments efficiently. Works with minimal supervision.

  • Demonstrates responsible behavior and attention to detail.

  • Screens incoming correspondence, telephone calls and personal visitors; answers questions when appropriate and refers other questions to the appropriate person for a response.

  • Schedules appointments/conferences/meetings, prepares agenda, collects and mails out pre-conference/meeting materials; takes and distributes minutes and sends out post-conferencing/meeting materials.

  • Makes travel arrangements; prepares and processes vouchers for payment of travel and other expenses.

  • Responds appropriately to supervision. Follows policy and cooperates with supervisors.

  • Attends various meetings and records minutes and/or prepares a written record of the proceedings.

  • Knowledge of the organization’s policies and office procedures as they relate to work activities.

  • Fulfills other duties as assigned.

Qualifications

  • High School Diploma or equivalent

  • Three years experience in secretarial or related administrative support

  • Post high school course work in an accredited secretarial, business, or related curriculum preferred

  • Keyboarding 50 net words per minute

  • Word processing skills (proof and format, tables, labels, envelopes, and mail merge)

  • Spreadsheet skills including Microsoft Excel & Google Sheets

  • Excellent organization and communications skills

  • Such alternatives to the above qualifications as the Board may find appropriate & acceptable
