Hills Bank Supply and Purchasing Clerk in IA, United States

SCHEDULE: Full-time ; Monday through Friday 7:30 am- 4:00 pm. Average of 40 hours per week

SCOPE:

Coordinate the ordering, receipt and stocking of bank supplies, standard marketing materials and promotional items. Work with all departments throughout the bank to help fulfill supply needs. As a backup to the Supply and Purchasing Supervisor, sometimes work closely with third-party vendors to gather quotes and place orders. Assist in the inventory and delivery of items ordered for various departments.

ACCOUNTABILITIES:

Primary Duties:

  • Receive supply requisitions from all locations/departments and fill in a timely manner to meet delivery schedules.

  • Receive and verify all supplies coming in and deliver/stock all new items in appropriate place.

  • Receive incoming freight and deliver to the appropriate department(s).

  • Maintain list of bank supplies, including item numbers and cost. Utilize list when placing orders to verify information and pricing.

  • Maintain inventories of stock supplies. Place orders for bank supplies as needed or notify the Supply and Purchasing Supervisor of potential shortages of bank printed materials, promotional items, etc.

  • As a backup to the Supply and Purchasing Supervisor, sometimes work with several third-party vendor online ordering systems and maintain systems as needed.

  • Contact third-party vendors with requests for quotes on routine/repeat orders. Review all bids with the Supply and Purchasing Supervisor to determine which vendor will receive the job based on relationships with the bank, quality of work, pricing and ability to meet deadlines.

  • Communicate job selection back to the vendors involved in the quote process.

  • As a backup to the Supply and Purchasing Supervisor, sometimes work with the Bank's purchasing software to create detailed purchase requisitions and purchase orders that can be sent to the appropriate vendors.

  • Scan and index paperwork for completed projects such as quotes from third-party vendors, requisitions, designs, etc.

    Other Duties:

  • Maintain and document negotiable instruments. (Official Checks)

  • Maintain good rapport with numerous vendors.

  • Assist with the review of bank supply invoices.

  • Backup for some duties assigned to the Supply and Purchasing Supervisor

  • Research new ideas for bank promotional items using various resources including third-party vendor websites, catalogs, etc.

  • Research past orders for pricing, vendor selection, quantities, g/l numbers, etc.

  • Perform/assist with other projects as assigned.

    EDUCATION AND SPECIAL REQUIREMENTS:

  • High school diploma or general education degree (GED); or one year of related experience and/or training; or equivalent combination of education and experience.

  • General knowledge of supply chain standards and purchase orders

  • Ability to lift and carry up to 50 lbs.

  • Strong typing skills.

  • Must have experience with a personal computer and have working knowledge of spreadsheets, word processing programs, internet and email.
