QuickVisit Clinic Manager (Newton, Iowa) in Newton, Iowa

QuickVisit Urgent Care is seeking to implement a Clinic Manager at our clinic in Newton, Iowa! We are dedicated to helping patients by delivering the highest quality, most affordable, and accessible healthcare in the communities we serve. The Clinic Manager will serve as a leader of the clinic to develop and manage a highly functioning team that consistently delivers high quality patient care and customer service. The individual works to ensure operational efficiency across all service lines. They are an expert clinical resource to staff regarding patient needs and clinical oversight under the Regional Director. They are responsible for all operations including staffing, financial, and clinical performance to achieve maximum performance and expense control. The Clinic Manager is an active member of staffing within the clinic.  

     

ESSENTIAL JOB FUNCTIONS:

  • Monitor patient satisfaction and resolve any complaints. 

  • Supervises day-to-day operations of clinic. 

  • Prepares clinical schedules, adhering to recommended staffing guidelines with minimal overtime. 

  • Able to understand financial and labor matrix reports to develop action plans to maximize profitability while meeting customer needs. Is responsible for clinic metrics as determined by Operations to include clinical quality, patient satisfaction and visits, etc. 

  • Drives excellence in business, clinical and financial operations of the center through managing workflows, budgets, scheduling, and other items as needed. 

  • Coordinates with HR and Regional Director to complete employee hiring, counseling, discipline, performance, evaluation and terminations. 

  • Ensures 100% compliance with the Quick Visit Compliance Program and compliance with federal or state licensing. 

  • Recognizes the need for changes or improvements in operational flow and provides appropriate intervention and guidance. 

  • Communicates identified clinic problems following appropriate chain of command and actively participates in the problem-solving process. 

  • Perform all other duties as an essential clinical team member within scope of practice 

  • Able to work independently and serve as a leader for the team. 

  • Ability to travel between facilities and QVUC sites. 

  • Performs other duties as assigned. 

EXAMPLES OF DISTINCT DUTIES AND CORE RESPONSIBILITIES:  

  • Complete clinic scheduling 45-60 days in advance. Management of sick calls (and documentation of such). 

  • Review employee timecards and submit to payroll team by Monday at 12:00pm (biweekly). 

  • Manage and resolve patient complaints within 48 hours. Monitor customer service scores. 

  • Overtime utilization management by adhering to recommended staffing. guidelines. Monitors staffing and adjust accordingly based on patient volume. 

  • Monitor and maintain clinic maintenance & appearance. 

  • Monitor queues/jellybeans weekly. Review on Fridays to ensure all queues were completed over 3 days. Address PRN or part time team members to complete open queue items. 

  • Monitor messages/telephone encounters – Review daily and ensure timely response within 7 days. Address PRN or part time team members to complete open queue items. 

  • Schedule and host monthly staff meetings - Agenda, minutes and roster submitted monthly to Regional Director. 

  • Ensures provider charts are clinic completed within 72 hours 

  • Monitor and manage IT or maintenance issues. 

  • Participate in monthly meeting with Regional Manager and other Clinic Managers. 

  • Ensures compliance of daily checkoffs within clinic as required for compliance (temp logs, crash carts, fridge checks, etc). 

  • Ensures new hires are oriented and all required signed documents are submitted to HR department for employee file. 

  • Completes annual performance evaluations and skill checkoffs for employees. 

  • Complete and review 30-day, 90-day, and 6-month check-ins with employees. 

  • Approve and/or deny PTO requests. 

  • Participates in weekly leadership meetings (Tuesday). 

  • Coordinate marketing event participation with marketing manager. 

  • Operates as a clinical team member and maintains office time as set by the company. 

EDUCATION: 

  • Associates degree or equivalent 

  • 1 year of relevant experience preferred 

  • Knowledge and understanding of HIPAA, OSHA and other state/federal healthcare requirements and regulations preferred. 

  • Current BLS 

  • Mandatory Reporter (Adult and Child)
