POSITION SUMMARY:

CPM Industrial Solutions ( A division of CPM Holdings) is looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level leaders. This position is based in Waterloo, Iowa.

Executive Assistant’s responsibilities include managing calendars, making travel arrangements, setting up meeting details/reservations and preparing expense and other reporting requirements. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.  You will contribute to the efficiency of our business by providing personalized and timely support to the senior leadership team.

RESPONSIBILITIES:

  • Act as the point of contact among executives, employees, clients and other external partners

  • Manage information flow in a timely and accurate manner

  • Coordinate meeting logistics to include site selection, hotel selection and meeting content delivered before each major meeting (board meetings, staff meetings, manager meetings)

  • Make travel and accommodation arrangements

  • Prepare weekly, monthly or quarterly reports by collecting and analyzing data

  • Act as an office manager by keeping up with office supply inventory

  • Format information for internal and external communication – memos, emails, presentations, reports

  • Take minutes during meetings

  • Screen and direct phone calls and distribute correspondence

  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications

  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel

  • Maintains customer confidence and protects operations by keeping information confidential

  • Contributes to team effort by accomplishing related results as needed

  • All other duties as assigned

    REQUIREMENTS:

  • Work experience as an Executive Assistant, Administrative Assistant or similar role

  • Ability to sequence and prioritize tasks most important for the business

  • A high level of attention to detail

  • Excellent Microsoft applications skills (Word, Excel, Teams & Outlook)

  • Outstanding organizational and time management skills

  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)

  • Excellent verbal and written communications skills

  • Discretion and confidentiality
