Job Description

Woodward Resource Center, a State of Iowa Health & Human Services (HHS) facility, is seeking a Secretary 1 to join our Plant Operations Department. As a Secretary 1, you will be responsible for providing general clerical support to the Plant Operations Department, Plant Operations Manager 3, Maintenance Repairs Supervisor, and Vehicle Fleet Supervisor.

What You'll Do:

  • Open, distribute, and process all incoming departmental mail.

  • Maintain personnel and routine office files so information can be quickly and efficiently retrieved when needed. Monitor employee evaluation due dates and provide notification to supervisors when they need to be completed. Type and distribute employee evaluations to appropriate personnel and departments after they have been written.

  • Answer phones, take messages, screen calls and handle when possible or refer on to appropriate personnel.

  • Generate miscellaneous reports as requested.

  • Complete time-keeper duties for the Plant Operations Department completing payroll processing every two weeks.

  • Assist Plant Operations Department with hiring of vacant positions.

  • Provide back-up for Fleet Vehicle Supervisor with vehicle check out, med trip changes or additions, schedule/return vehicles from repairs.

  • Provide back-up for Maintenance Repair Supervisor in receiving work orders and distributing to appropriate personnel.

  • Perform related duties as required.

Minimum Qualification Requirements

Experience equal to one year of full-time clerical or closely related work;

OR

post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;

OR

completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required experience;

OR

certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;

OR

employees withcurrentcontinuous experience in the state executive branch that includes permanent status as a Typist–Advanced.
